Registration Information

Overnight camp registration for returning campers and their siblings opens September 1st. Many sessions fill quickly so early registration is recommended. Registration for new campers opens September 15th.

Day Camp registration opens on January 15.  For more information about Day Camp, visit our Programs Page.

To Register: Please complete a Camper Application online and submit a deposit either online or mail a check promptly. In order for your child to be enrolled, we must receive a complete camper application and deposit.

PAYMENTS

Payment Schedule & other fees

  • $800 deposit: Due with the application (the deposit is applied to tuition, it is not an additional fee).
  • February 1st: Half of the remaining tuition balance is due
  • April 1st: The remaining balance is due.
  • A processing fee of $200 is charged to those who cancel before February 1st; please see our Cancellation Policy for details.
  • The returned check processing fee is $25.  
  • Stay-over fee: If your child is signed up for two consecutive sessions, you may have the option to have them stay over at camp between those sessions for a fee of $175/night. This is not available for every session; please contact our office to make this arrangement.
We accept checks, eChecks, or credit cards.
There is no fee to pay by eCheck.
There is a 3% fee added to credit card payments.

CANCELLATION

Cancellation Policy

Your deposit is applied to tuition and all but the processing fee of $200 is refundable any time before February 1st providing we receive notification in writing. No refund will be made for cancellations after Feb. 1. No refund or discount will be made for late entrance or early withdrawal, except when caused by serious illness; in this case, the loss will be shared equally by the parent and the camp.  Gwynn Valley reserves the right to dismiss any camper who violates the camp rules or whose conduct is determined by Gwynn Valley to be detrimental to self, other campers, or the general welfare of the camp. No refund will be made in case of dismissal.

REGISTRATION FORMS

After your camper is enrolled, the following medical forms also must abe completed by their corresponding due dates.

HEALTH HISTORY FORM – DUE MAY 1ST
This form must be completed every year by a parent or guardian per ACA Standards. This form must be completed on-line and cannot be printed and mailed. It should be updated if the camper’s health information changes before camp starts.
SUBMIT All other required forms listed below in one of the following ways:
  • Scan and upload directly to the camper’s account
  • Fax back to our electronic fax number 704-208-5168. The bar code on the form will link it directly to the camper’s record.
  • Mail the form to 301 Gwynn Valley Trail Brevard, NC 28712
PARENT AUTHORIZATION – DUE MAY 1ST
This form includes a ‘Release to Treat’ your camper should a health emergency arise. It also includes a space to provide a copy of your insurance card.
IMMUNIZATIONS – DUE MAY 1ST
We must document the date of the camper’s last Tetanus shot. You can either provide a copy of their complete immunization record or just include their last DTap/Tdap shot. If you do not immunize your child, you must sign our immunization waiver.
PHYSICIAN’S EXAMINATION FORM – Due 2 weeks before session start date.
This form must be completed within 12 months of the child attending camp and must be signed and dated by your physician during a complete physical examination. If you already have a copy of a physical exam, you can upload it in place of this form. *Please note, this form is not required for our Day Camp program.

WAIT LIST

Wait List Policy

Many of our sessions fill very quickly so early registration is recommended. Priority will be given to returning campers until September 15th. If we receive your application after a session has filled, you may enroll in another session and be placed on the wait list for the session of your choice. You may change sessions, if a space becomes available; there is no charge for changing sessions. To be added to the wait list, we must receive a completed camper application and deposit.  The deposit is not processed until a camper accepts the space and is enrolled.

SCHOLARSHIPS

Gwynn Valley is committed to providing scholarships to families who can not afford to send their child to camp without financial assistance. Scholarships range from 10% tuition cost to a full scholarship depending on financial need.  All camper families are asked to pay what they can afford, ensuring we can offer scholarship funds to as many campers as possible.  To request a Scholarship Application, email Shelley@gwynnvalley.com.
